Pick your CRM by your motion, not by the brand.
Every CRM evaluation goes the same way: someone Googles "best CRM," lands on a list, and ends up debating Salesforce vs HubSpot vs Pipedrive for two weeks. The list is wrong, because the question is wrong.
The right question is: what motion does your team actually run?
The five questions
- What's your average deal cycle? Sub-30 days = pipeline-first tool (Pipedrive, Close). 90+ days = relationship-first tool (HubSpot, Salesforce).
- How many reps? 1–5 reps: pipeline-first. 5–25: HubSpot or ActiveCampaign with CRM. 25+: Salesforce.
- Where does your data live now? Already in HubSpot Marketing → HubSpot CRM. Already in ActiveCampaign Email → ActiveCampaign CRM. Sticky data wins.
- Is sales separate from marketing? Separate teams = Salesforce. Same team = HubSpot or ActiveCampaign.
- What's your real budget? Most people lie to themselves here. Cheap = Pipedrive ($14). Mid = HubSpot Starter ($45). Premium = Salesforce ($150+).
The cheat sheet
If you answered:
- "Solo / small team, short cycle, no marketing automation" → Pipedrive
- "Small to mid, content-led, marketing + sales same team" → HubSpot
- "Mid to large, complex pipelines, enterprise reporting" → Salesforce
- "Ecommerce, automation-heavy" → ActiveCampaign or Klaviyo CRM
That's it. Go back to building.
